7 Ways to Build a Conference Room Without Building a Conference Room

A few weeks ago, someone reached out looking for used 8-person meeting pods. Their client needed a conference room but didn’t have the budget for hard wall construction.

It’s a common ask. And used pods are really hard to find. The new market is slow, so the secondary market is even slower.

But a pod is just one answer to a much bigger design question: how do you create enclosed, functional meeting space without construction?

We put together seven different furniture-based approaches at different price points. Every one of them skips the construction process entirely. Here’s what they look like.

All pricing below is rough budget-level estimates. Freight, tax, tariffs, and installation could all apply on top. Finish and fabric selections will move the number too. Think ballpark, not quote.

The Casual Huddle

Option 1~$17,000

Nothing bolts to the floor. Nothing touches the walls. You could move this entire setup in an afternoon if your space needs change. It’s the low-commitment, high-flexibility option.

The Built-In Booth

Option 2~$12,000

JSI’s Caav high-back seating system with a built-in media panel and TV bracket. Video-call ready out of the box. Seats four to six comfortably and feels enclosed without feeling claustrophobic.

It looks permanent but it’s fully freestanding. No construction required.

The Freestanding Room

Option 3~$26,000

A Loftwall modular room system with an aluminum frame, acoustic PET felt panels, wood laminate panels, a dry erase surface, and a sliding door. Inside, a bar-height video conference table with seating for about six.

The acoustic panels provide meaningful sound reduction. The whole thing shows up on a truck and gets assembled on site without any permitting or ceiling work.

The Corner Banquette

Option 4~$12,000–$13,000

Stylex’s Ambi system. An L-shaped banquette with high privacy screens that tucks right into a corner, with a cafe table and pull-up chairs on the open side. Seats five to six.

This one works with the walls you already have rather than creating an entire enclosure from scratch.

The Neighborhood

Option 5~$26,000

Instead of one big room, this creates a little meeting neighborhood. Stylex Still screens form multiple booth-style nooks with two enclosed seating zones plus an open side. Luna plinth seating with built-in power, and a mix of oak and upholstered screen panels.

Warm, residential feel. Perfect when the need isn’t one big meeting room but rather flexible spots that can run simultaneously.

The Full Boardroom

Option 6~$55,000–$60,000

A proper twelve-seat boardroom built entirely from furniture. Loftwall glass walls create the enclosure with acoustic ceiling baffles above. Inside, a JSI Anthology arc boat conference table, Via Jete chairs in Ultraleather, Koble lounge seating along the back wall with laptop tables, a credenza, overhead storage, a monitor mount, and a tackboard.

This replaces what would easily be a six-figure construction project. And when the lease is up, it all comes with you.

The Panel Room

Option 7~$10,000

The most traditional approach. Classic 82-inch fabric panels with a real panel door, a six-seat meeting table, and guest chairs.

Simple, enclosed, budget-friendly. If you need a functional meeting space and don’t need it to look like a design magazine, this gets it done.
